Challenge

IT Vortex didn’t want clients saddled with exorbitant processing fees

When IT Vortex used PayPal for payments, Ericka Montano, IT Vortex’s Bookkeeper and Office Manager, said she had to manually attach invoices, send out links, and chase down payments. For each payment, she also had to ensure that the attached QR code was functional. These tasks consumed at least five hours of her time per month. 

What’s more, customers had to leave IT Vortex’s site to pay on a different website, which forced them to pay their own processing fees — PayPal wouldn’t let IT Vortex absorb them upfront. Further confusing the process, transactions were attributed to PayPal instead of IT Vortex, which many clients interpreted as fraudulent activity. 

The worst part? Clients paying IT Vortex larger sums had to pay proportionally larger fees, which harmed IT Vortex’s relationships with bigger, more lucrative clients. Overall, this process made clients less than eager to pay bills on time.

When looking to streamline its processes, IT Vortex first tried Intuit — but it was very expensive and had rigorous credit card approval processes. Eventually, they found the solution they’d been looking for: FlexPoint.

Using PayPal was not convenient. Our customers had to physically leave our site to make a payment, and we weren’t even given the option to absorb the processing fees.”

With FlexPoint, invoicing and reconciling became seamless and automatic

Onboarding with FlexPoint was practically a zero-lift process for IT Vortex. The FlexPoint team walked them through every step and even provided a script that helped them onboard clients to the portal. 

From there, FlexPoint simplified IT Vortex’s invoicing and payment processes. Ericka explains just how transformative working with FlexPoint was: “Now, I just create invoices, and that’s it. My job is done. FlexPoint auto-sends them to the client portal.”

Once IT Vortex receives deposits, transactions are automatically reconciled and entered into QuickBooks.
